Department: Programs

Reports to: Senior Manager, National Programs

Status: Full time/Exempt

Location:  Ideally based in the YSC office in either New York City or Indianapolis. Remote candidates outside of these locations will be considered.

Position Overview: YSC seeks a highly motivated, creative individual to plan and implement YSC’s largest conference and a few smaller conferences, all taking place annually. The candidate will be a detail oriented person who excels at multi-tasking and can take on significant responsibilities while working independently and as part of our team. The candidate must be willing to travel throughout the year as travel is required to meet the responsibilities of the position.

Responsibilities:

  • Working with a team of professionals, implement multiple aspects of one-day and multi-day conferences coordination and implementation.  This includes:
    • Work plan and timeline creation and management
    • Budget adherence
    • Location selection processes including RFPs, vendor recommendations, contract management and vendor relations
    • Pre-meeting and onsite logistics (registration, vendors, menus, participating organizations, staff and volunteers)
    • Production and exhibits
    • Speaker travel, logistics and communications
  • Creatively problem-solve and execute plans based upon conference programming and participant needs.
  • Liaise with various departments at YSC to ensure seamless coordination of all conference components.
  • Keep all relevant departments and senior staff up to date on registration and other event details as they progress.

Consults With: Community Engagement, Operations, Development and Communications teams.                               

Qualifications:

  • 3 years experience in meeting planning and management including large (1000+ attendees) conferences.
  • Exceptional event management skills including speaker management, logistics management and material production.
  • Demonstrated negotiating skills and experience with managing vendors.
  • Understanding of finances as it relates to conference planning.
  • Strong problem solving ability.
  • Demonstrated ability to keep meticulous and detailed records.
  • Extraordinary flexibility – thrive in fast-moving, often-changing environment.
  • Strong Interpersonal skills – ability to work with diverse set of people (speakers, vendors, volunteers, and staff.)
  • Commitment to excellent customer/member service.
  • The ability to work in a "team" environment across departmental groups as well as autonomously.
  • Professional writing and oral communication skills.
  • Strong belief in our mission.

Position Overview: YSC is embarking on an exciting period of growth, expanding the number of young women we serve and the breadth of services that we offer. Dynamic and sophisticated web-based tools that fully integrate with our database platform, Salesforce, are critical elements in our current growth strategy. YSC is seeking a professional to join our team who is interested in our mission and can bring their project management and technical skills to our organization to develop, manage, and implement a strategy that will strengthen connections with our constituents. The individual will explore opportunities to improve the user experience with our website, including the development of more interactive tools. The position will focus on enhancing our existing website and identifying opportunities to more deeply connect our constituents to our mission through programmatic tools. This individual will partner regularly with our Salesforce Manager and with departmental managers to define organizational needs and develop creative solutions. In addition to driving our on line strategy, this individual will provide general technical support to the YSC team.

Our Team:YSC employees consist of a team of dedicated employees who care deeply about the women we serve. We are a staff of 25 with our national headquarters in New York City and remote offices throughout the United States. We work hard, have fun and care about each other. Essential Job Functions:

  • Administer YSC’s websites, providing support with web-based applications and site content management using HTML, CSS, Javascript and other web technologies.
  • Manage web projects from beginning to end using excellent communication and project management skills.
  • Research, recommend, implement, and test software and cloud-based application solutions for organizational web presence and internal use.
  • Partner with Salesforce Manager to maintain and enhance existing web applications and database systems.
  • Design and implement user-driven templates, databases and front end interfaces that are user friendly and meet the needs of our unique constituency. 
  • Develop and manage technology project plans; communicate timelines, deliverables and ongoing progress to key stakeholders.
  • Possess demonstrated work experience with at least one relational database management system.
  • Train and support staff in using YSC’s technology tools.
  • Troubleshoot website issues as they arise.
  • Provide technical and desktop support to staff.
  • Manage the inventory of all IT equipment.
  • Demonstrated experience managing external vendors and technology professionals.
  • Complete other duties as assigned and appropriate.

Technology Management:

  • Must have experience using HTML, CSS, JavaScript and other tools to design and manage websites and web-based applications. Knowledge of Drupal and WordPress administration and theming
  • Experience with Convio, Donor Drive, or with other web based donation/CRM platforms
  • Familiarity with the Salesforce.com platform
  • Source control tools: i.e. Github
  • Extensive knowledge of existing and emerging social media platforms and technology

Education Required: Bachelor’s degree

Experience Required:  Minimum of two years of web development and database infrastructure management. Preferred experience: working with complex database systems (Convio, SQL Server). Experience in testing and evaluating technology platforms.
